Venue Policies

Reservations

Reservations for meeting and event spaces may be made one calendar year in advance of the function. Reservations may be made through the Culver Family Welcome Center (CFWC) Conference and Event Services office by calling (920) 424-3300 or sending an email to welcomecenter@uwosh.edu.

Upon booking your event, a written confirmation will be sent to you. To confirm a reservation, a deposit and signed rental agreement are required.

Should the onsite contact request change to the existing room reservation specifications, the CFWC will do its best to comply (based upon the availability of space, supplies and equipment.) However, a labor fee will apply.

Rates are based on a maximum 8-hour reservation, with an additional 30 minutes for setup and 30 minutes for tear down. Reservations exceeding this time will be assessed an additional hourly rate.

Deposit And Billings

Non-university groups may be required to make a deposit for the event space with their signed confirmation. In addition, Sodexo may require an additional deposit for food and beverage service.

The following groups may be required to prepay for their event: social, political, religious, nonprofit, fraternities, sororities, reunions and other events with unverifiable sources of revenue or when attendees pay. A deposit is not required from University departments/organizations using the Welcome Center.

Detailed invoices for event services and catering will be sent to the billing contact after the event. Payments will be due within 30 days of the dated invoice. Unpaid fees and charges after 60 days will be subject to a 1 percent per month carrying charge. Groups or organizations with past due accounts (beyond 60 days) will not be able to reserve rooms for future events and any current reservations may be cancelled until the balance is paid in full.

Sales Tax and Tax Exempt Groups

Wisconsin sales tax of 5 percent will be added to your account, unless a tax exempt certi cate is on le seven days prior to your event. Tax exempt status is only applicable to the amounts paid from your organization’s account.

Service Charges and Staffing

Staffing charges are included in current rental rates. In addition, no service charge will be applied to your food and beverage account with Sodexo.

If additional staff (beyond our customary staffing) is required, a fee of $25/hour per additional staff member will be assessed.

The CFWC will be closed on Thanksgiving, Christmas Eve, Christmas Day and New Year’s Day. Events taking place on the following holidays will be assessed a $75/hour staffing fee: Easter Sunday, Memorial Day, Independence Day, Labor Day and New Year’s Eve.

Responsible Use

All groups and organizations scheduled to use the CFWC will be responsible for the actions of their members and guests. They are responsible for the proper use of the facilities, furnishings and equipment in the scheduled area by anyone attending the function.

In the interest of personal safety, building users must follow all re safety regulations, including remaining within rated seating capacities for event spaces and keeping aisles and doorways clear and unobstructed.

Additional charges will be assessed for labor when an excessive amount of cleaning is required to return the areas to their original state. Additional charges also will be assessed for damages resulting from chewing gum, candle wax, decorations or the misuse of any furnishings or equipment where repair or replacement is required.

Decorations

Open flames may not be used inside the CFWC. Displays and decorations requiring water must be discussed with your CFWC event manager in advance. The use of tape, glue, nails, thumbtacks or adhesive on the walls, ceilings, door frames, columns, chairs or staging is prohibited. The use of glitter, confetti and fog machines also is prohibited. Please contact us to discuss your decorating plans.

Delivery and Storage of Materials

All deliveries to the CFWC must be arranged through our event services office. The CFWC will not accept deliveries unless arrangements have been made in advance.

The CFWC does not assume responsibility for damage to or loss of any materials or equipment left in the building on display or in storage. All items will be given the same care and protection given to CFWC property.

Audio-Visual Equipment

Audio-visual (AV) equipment is available for rent on a “first-come, first-served” basis. Should your requirements exceed our available in-house supplies, we will make arrangements to rent additional equipment to meet your needs and charge the cost of such additional rentals to you. All AV equipment should be reserved at least seven days prior to the event.

On-site staff members will be pleased to help set up and connect technology, such as laptops, projectors, screens and conference phones. Should your event require more complex production support an additional technology vendor may be required. The cost of such additional services and equipment will be the responsibility of the client.

Groups may bring their own technology to use at the CFWC; however, we cannot guarantee the compatibility of devices. Please let our event services staff members know about the equipment you intend to bring one week in advance so we can arrange necessary cables or cords.

Please arrive at least 30 minutes prior to your event to test AV equipment.

Parking

Free parking options are available for guests attending your event. Please contact the event services of ce to discuss parking arrangements for your group.

All CFWC guests are subject to the parking rules and restrictions as determined by the UW Oshkosh Parking office. Parking permits are required throughout campus (Monday through Friday until 4 p.m.) Parking in any legal, non-reserved space on the UW Oshkosh campus, including the parking ramp, is free from 4 p.m. Friday through 6 a.m. Monday.
